Cancellation Policy

1. Scope

DocuChat uses prepaid credits rather than a recurring subscription at launch. This policy explains account cancellation, trial expiry, deactivation, reactivation, suspension, termination, and staged deletion.

2. Requesting cancellation or deletion

You may use an account-deletion control made available in the authenticated app or email admin@docuchat.in from the registered account address. We normally verify control through that address and may request additional proof when reasonably necessary to protect the account or comply with law.

There is no self-service account-data export. We provide a manual export through admin@docuchat.in only where applicable law requires it, subject to identity verification, lawful scope, exceptions, and available records.

3. Account lifecycle

• Trial: an eligible trial runs for up to 14 days or 20 answered messages, whichever occurs first.
• Active: after a successful credit purchase, use remains subject to the available credit balance, rate table, account standing, and these policies.
• Deactivated or restricted: after trial expiry, cancellation, insufficient usable credits, suspension, or a deletion request, some access may become read-only or unavailable and chatbots may stop answering.
• Staged deletion: after a confirmed deletion request, access may be disabled and records marked deleted before selected resources are removed through later cleanup.

4. Reactivation window

The current lifecycle is designed to permit reactivation for up to 30 days after deactivation, generally by restoring eligible account use or purchasing credits. This does not guarantee that all data will remain complete, that every account can be reactivated, or that irreversible purging occurs immediately when 30 days ends. Security, legal, provider, and technical constraints may prevent reactivation.

5. Staged deletion and retained records

A confirmed deletion request may first disable account access and mark account, chatbot, and document records deleted. Scheduled cleanup may later remove selected authentication, storage, and retrieval resources.

Some records or copies may remain for staged cleanup, provider processing, backups, security and abuse investigations, disputes, payment and tax obligations, legal holds, or other legal requirements. Retention periods vary by record and law. DocuChat does not promise immediate, exhaustive, guaranteed, or irreversible physical deletion.

The Customer Content processing licence in the Terms of Service ends after deletion to the extent technically and legally possible, subject to these cleanup, backup, hold, and retained-record exceptions.

6. Credits and refunds

Cancellation or deactivation does not automatically refund unused credits. Unused purchased credits remain subject to the general non-refund position and exceptions in the Refund Policy.

If DocuChat permanently shuts down the Service for business reasons, we will give reasonable advance notice and a reasonable opportunity to use available credits where practical. After that period, we will refund the remaining attributable value of unused purchased credits, subject to applicable law, identity and payment verification, payment-provider capability, and required tax or credit-note treatment. No fixed notice or use period is promised.

7. Suspension and termination

For a non-emergency breach, we will normally notify the customer and allow a reasonable opportunity to cure before suspending or terminating affected use. We may act immediately for serious abuse or unlawful activity, security threats, payment reversal, imminent harm, provider failure, or legal requirements.

Termination for serious abuse, unlawful activity, or security threats leaves unused credits non-refundable except where applicable law requires otherwise. During an investigation, we may temporarily disable specific content, chatbots, API access, embeds, or account functions.

8. Requests, timing, and contact

We will handle verified cancellation, deletion, and legally required export requests within the deadline required by applicable law. Actual cleanup timing may differ across systems, providers, and backups.
